|Description||The University of Texas at Austin is currently seeking applications for a Development Specialist.
Monthly salary: $3,750 - $4,583
Stewardship and Compliance: Manage timely production of approximately 550+ endowment reports annually, including downloading report distribution list and UTIMCO reports, obtaining financial reports from Dean's office, producing personalized letters, creating faculty and student profiles, routing letters and reports for review, and assembling, proofing and mailing packets. Manage the annual donor letter project in the fall. Send faculty chair appointment letters to donors. Maintain all endowment files and records, including requesting copies of student scholarship letters each fall and spring. Monitor principal information and proper coding in VIP. Coordinate Dean's holiday card mailing for top-level donors. Generate ad hoc stewardship reports for major donors identified by the department directors. Manage all logistics surrounding new donor recognition plaques for endowments, corporate gifts, Advisory Council, Hall of Fame inductees and Rising Stars. Host quarterly stewardship meeting for entire office. Assist with coordination of Scholarship initiative with the Dean's Office and Program Offices to ensure timely awarding of scholarships. Coordinate logistics surrounding acknowledgement tokens; research products with multiple UT approved vendors, request price quotes, create OOEF's. Submit trademarks and licensing approval forms, request purchase orders, submit payment requests and manage inventory. Develop strategy for annual scholarship recognition events and pull donor and student lists for event programs. Maintain/update annual inventory of nameplates for permanent endowed faculty holders. Prepare invitation lists, create RSVP sppreadsheets, track RSVPs and assist with talking points for Hall of Fame, Advisory Council, Corporate Recognition dinner and other events. VIP database management and update addresses, add "do not contact" codes and oversee collection of deceased alumni/donor notifications. Write condolence notes to surviving family member(s) and compile notifications for McCombs magazine. Working closely with gift officers, draft, review and produce establishment certificates for McCombs endowments on an ongoing basis. Manage all new donor recognition programs and public walls. Participate in endowment establishment process as needed with the Development Specialists/Associates on the Development staff. Coordinate with Major gifts team Development Specialist to execute quarterly McCombs Matching reconcile. Produce ad hoc reports for planned gifts and other non-typical stewardship projects. Partner and maintain professional working relationships with the Texas Exes and Central Development to maintain high level of well-coordinated McCombs stewardship standards. Maintain master endowment tracking spreadsheet with other Development Specialists and Associates on staff. Order flowers for donor and faculty funeral services, alumni occasions and other event photos for gift officers. Perform administrative duties for Executive Director in conjunction with Executive Director's student assistant. Hire, train and manage two student assistants, Executive Director's student assistant and the stewardship student assistant.
